Who we are

NewGen Academy. We are responsible for the personal information described in this policy. If you have any questions about how we handle your data, contact us at info@newgenacademy.co.uk.

What we collect

We only collect the information you choose to give us through this website:

• Interest registration: your name, email address, town or city, date of birth, Instagram handle, time spent training and activities of interest. We calculate your age from your date of birth. Phone number and additional information are optional. We may use your email address or Instagram handle to contact you about joining. Earlier registrations may include programme interests, event selections, messages and parent details. Please do not include medical information.
• Application form: the answers you give in the application, including your name, age, contact details, area, how you heard about us, time spent training, activities of interest and your goals. Phone numbers and additional information are optional. For participants under 18, we also collect parent or guardian contact details, relationship and confirmation. New application forms do not request medical information. Older correspondence may contain information previously supplied to us.
• Analytics: anonymous usage and performance data that helps us understand public page usage. Application, admin and login pages are excluded; public page query strings are removed. Analytics are disabled in the local preview.

Why we use it

We use your information to assess your enquiry and ensure it is dealt with in the best manner possible. Health information previously shared is handled as part of the relevant correspondence; please discuss support needs with the team through the agreed onboarding process.

We do not sell your data, and we do not share it with third parties for marketing.

How it is stored

Submissions are stored in our database and data access is limited through the private admin area. Application invitations expire after seven days and are stored as token hashes. Notification emails contain a link to the admin area rather than the participant’s application answers.

How long we keep it

We keep enquiry and application data for as long as needed to support your involvement with NewGen Academy, and then remove it. You can ask us to delete your information at any time.

Your rights

Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to request a copy of it. To exercise any of these rights, email info@newgenacademy.co.uk and we will respond within one month.

If you are unhappy with how we have handled your data, you can raise a complaint with the Information Commissioner's Office at ico.org.uk.

Participants under 18

Where a participant is under 18, we ask for parent or guardian consent before they take part, and we handle their information with additional care in line with our safeguarding policy.

Changes to this policy

We may update this policy as NewGen Academy grows. Any changes will be published on this page.
